AIRPORT
The recommended airport for participants flying to the workshop is Denver International Airport (DIA). The ground transportation service will transport participants from DIA to the workshop location in Estes Park, Colorado. It is preferred that you arrive DIA before 6:30 PM on October 19th, 2002 because of the limited shuttle departure times (see below). GROUND TRANSPORTATION
Estes Park Shuttle <http://www.estesparkshuttle.com/> offers service to and from DIA and Estes Park on a daily basis. The telephone number is (+1) 970 586 5151. The Estes Park Shuttle's pickup location at DIA is on the fifth floor of the east terminal, door 511, island 1. The shuttles are white vans with an Estes Park Shuttle logo on the side. We strongly request you try to book your flights to arrive DIA well before 6:30 PM. The latest shuttle leaves the airport at 6:30 PM. Please allow 2 hours to clear international arrivals and one hour to clear domestic. If you will not be able to catch the 6:30 PM shuttle, please contact Stella Salvo immediately (email: stella@nrel.colostate.edu, Telephone: (+1) 970 491 1984).

As soon as you have provided us with your flight arrival and departure times, we will book your ground transportation between the Denver International Airport and the Aspen Lodge hotel at Estes Park.

Upon arrival - We will arrange transportation to and from the airport and hotel with Estes Park Shuttle Services. Estes Park is about 115 km from Denver (the shuttle trip takes nearly 3 hours). The shuttle departure times from the DIA airport to the Aspen Lodge hotel are:

When booking your flight, please keep in mind that the SHUTTLE WILL TAKE NEARLY 3 HOURS TO REACH THE AIRPORT. Please plan accordingly so that you are able to take one of the scheduled shuttles to the airport and arrive 2-3 hours before your international flight (1-2 hours before your domestic flight).

We have provisionally booked a room for you from October 19 and leaving October 24 (5 nights) at the Aspen Lodge at Estes Park Ranch, Resort & Conference Center <www.aspenlodge.net>. Please let us know if you require different dates. Your accommodations (including meals at the hotel) are paid by us, unless you have agreed to pay your own accommodations (full or partial).

International meeting participants entering the United States will be traveling as a Business or Pleasure Visitor. Participants from the following countries are part of the Visa Waiver Program (VWP) and do not require a visa:

Ireland,
Italy,
Japan,
Liechtenstein,
Luxembourg,
Monaco,
The Netherlands,
New Zealand,
Norway,

Sweden,
Switzerland, the
United Kingdom and
Uruguay.

These countries under the VWP are not required to apply for a visa, but MUST:
1. Have a valid passport issued by the participating country and be a citizen (not merely a resident) of that country.
2. Be seeking entry for 90 days or less as a temporary visitor;
3. If entering by air or sea, have a round-trip transportation ticket issued on a carrier that has signed an agreement with the U.S. government to participate in the VWP, and arrive in the United States aboard such a carrier.
4. Have proof of financial solvency and hold a completed and signed visa waiver arrival/departure form (I-94W), on which he/she has waived the right to a hearing of exclusion or deportation. These forms are available from participating carriers, from travel agents, and at land-border ports-of-entry. (Travelers should consult carriers to verify which ones are participating before making travel arrangements.)
5. An official letter of invitation is also helpful when entering the United States. The letter should include the invitee’s name, reason for fist, period of stay in the US, and method of payment of expenses. If you are paying your own expenses, be prepared to show the consular officer that sufficient funds are available for the trip. If the American host is paying the expenses, an affidavit of support may be included. *WE WILL SEND YOU AN OFFICIAL LETTER OF INVITATION UPON REQUEST*

Most foreign travelers will receive an Arrival-Departure Record (Form I 94), which notes the length of stay permitted, when arriving at a US port-of-entry. More information on the Arrival-Departure Record can be found at: http://www.ins.usdoj.gov/graphics/howdoi/visadep.htm#records

Obtaining a business visa
If your country is not under the VWP, you must apply for a business visa (B-1) at the US Consulate in your country before departing for the workshop. Some countries require that you apply in person so please apply for your visa ahead of time.

Polish Citizens wishing to travel to the United States for business purposes such as a business meeting, conference, symposium, or training course must obtain a business visa before departing. Polish citizens may apply without an appointment Monday through Friday from 8:30 a.m. to 12 Noon at the US Embassy in Warsaw, and from 8:30 a.m. to 11:30 a.m. at the US Consulate General in Krakow, except for legal American and Polish holidays. Business visa applicants must present the following documentation at the time of their interview: a letter or invitation from an American company or school (we will provide this letter); Polish business documents, such as a business license and recent contracts; recent tax receipts; and a REGON and PIT. Canadians generally do not require a visa when entering the United States but, at the port of entry, an U.S. Immigration and Naturalization Service (INS) official must authorize the traveler's admission to the US At that time the INS Form I-94, Record of Arrival-Departure is stamped. REIMBURSEMENT
If you require reimbursement for your airfare (or any other expense), you must send us a quote before you purchase your ticket. We will only reimburse airfare tickets that have been approved by the meeting organizers. For those participants that have requested reimbursement of airfare, you will receive a travel claim form at the workshop.  These will then be issued by the Natural Resource Ecology Lab at Colorado State University, who will issue your reimbursement in US dollars.

Please make sure that you bring your receipt for your ticket, showing the full price you wish to be reimbursed (including any airport taxes).

**Please note that you must pre-approve with the meeting organizers any travel or ground transportation expense (i.e. train, taxi, parking, shuttle, etc...) in order to receive reimbursement for those costs.**
