Shuttle drivers will meet participants at the baggage claim exit at the Savannah Airport (there is only one) and will be holding a sign saying "Victoria Land Workshop - Jekyll Island."

If we are funding your airfare

Please make your travel arrangements with Ana at Aggie Travel Points, 1-800-231-2928. Be sure to mention that you have a credit from your previous cancelation due to the hurricane. You will be responsible for making your own travel arrangements. We will be using the Savannah/Hilton Head International Airport in Savannah, Georgia, USA. http://www.savannahairport.com/

If you choose to use our complimentary shuttle service FROM THE SAVANNAH AIRPORT ONLY, ground transportation will be provided to the Villas by the Sea Resort on September 15. Ground transportation from the Villas by the Sea TO THE SAVANNAH AIRPORT ONLY will be provided on September 19. Please check this workshop website for further information on where to meet the shuttle.

*** Please note if you are driving to Jekyll Island: There is a $3.00 daily parking fee for entrance to Jekyll Island and a map of the island is available at the toll booth. We regret that we are unable to reimburse this amount. Maps and tourist information are also available at The Jekyll Island Welcome Center, located on the left side of the causeway before you reach the island. If we are funding your accommodations

A room will be reserved for you at the Villas by the Sea. http://www.jekyllislandga.com/ Your accommodation includes a one-bedroom villa plus all meals and breaks at the workshop. We will attempt to accommodate those of you who have requested to share a 2 or 3 bedroom villa. You will be responsible for the cost of any incidental charges such as (but not limited to) phone calls, room service, meals outside of the workshop, and alcoholic beverages. Please plan accordingly.

If you are paying your own airfare:

You are responsible for making your own travel arrangements. As noted above, the preferred airport for arrival and departure is Savannah http://www.savannahairport.com/. NOTE: You are responsible for making arrangements and PAYING the cost of ground transportation to and from any other airport or at any other time. If you choose to hire your own ground transportation you will find information at the airport websites noted above.

You may also choose to share a 2 bedroom villa with 2 people for 144.00/person/night or with 3 people for 115.00/person/night. You may also choose 3 bedroom villa with 3 people for $129.00/night/person or with 4 people for 109.00/night/person. These 2 and 3 bedroom villas have limited availability, we will do our best to accommodate your request. The prices for the 2 and 3 bedroom villas also include all meals and breaks at the workshop. You will be responsible for the cost of any incidental charges such as (but not limited to) phone calls, room service, meals outside of the workshop, and alcoholic beverages. Please plan accordingly.

Reimbursement Procedures

  • We are not able to purchase alcohol with University funds.  Please plan accordingly.
  • We are not able to pay for personal phone calls from the hotel room or any extras beyond accommodations

Documents / Info required for reimbursements after the trip:

  • Passenger receipt stub from the back of the airline ticket, showing the airfare amount
  • Original receipts for everything claimed, such as hotel, shuttle, train, etc.
  • The currency you would like to be reimbursed with
  • Only pre-approved expenses will be reimbursed. If you have questions regarding this, please contact Holley Zadeh .
  • Reimbursements can only be obtained AFTER the dates of travel, stay, etc., as our accounting office must see proof of the use of good or service (i.e. a receipt or ticket stub) in order to issue a reimbursement check. A travel itinerary is not acceptable.

Visa Information

Required documentation for international participants:

International meeting participants entering the United States will be traveling as a Business or Pleasure Visitor. Participants from the following countries are part of the Visa Waiver Program (VWP) and do not require a visa:

Andorra, Austria, Australia, Belgium, Brunei, Denmark, Finland, France, Germany, Iceland, Ireland, Italy, Japan, Liechtenstein, Luxembourg, Monaco, The Netherlands, New Zealand, Norway, Portugal, San Marino, Singapore, Slovenia, Spain, Sweden, Switzerland, the United Kingdom and Uruguay.

These countries under the VWP are not required to apply for a visa, but MUST:

  1. Have a valid passport issued by the participating country and be a citizen (not merely a resident) of that country.
  2. Be seeking entry for 90 days or less as a temporary visitor;
  3. If entering by air or sea, have a round-trip transportation ticket issued on a carrier that has signed an agreement with the U.S. government to participate in the VWP, and arrive in the United States aboard such a carrier.
  4. Have proof of financial solvency and hold a completed and signed visa waiver arrival/departure form (I-94W), on which he/she has waived the right to a hearing of exclusion or deportation. These forms are available from participating carriers, from travel agents, and at land-border ports-of-entry. (Travelers should consult carriers to verify which ones are participating before making travel arrangements.)
  5. An official letter of invitation is also helpful when entering the United States. The letter should include the invitee’s name, reason for fist, period of stay in the US, and method of payment of expenses. If you are paying your own expenses, be prepared to show the consular officer that sufficient funds are available for the trip. If the American host is paying the expenses, an affidavit of support may be included. *WE WILL SEND YOU AN OFFICIAL LETTER OF INVITATION UPON REQUEST*

Most foreign travelers will receive an Arrival-Departure Record (Form I 94), which notes the length of stay permitted, when arriving at a US port-of-entry.

Obtaining a business visa

If your country is not under the VWP, you must apply for a business visa (B-1) at the US Consulate in your country before departing for the workshop. Some countries require that you apply in person so please apply for your visa ahead of time.

Canadians generally do not require a visa when entering the United States but, at the port of entry, an U.S. Immigration and Naturalization Service (INS) official must authorize the traveler's admission to the US At that time the INS Form I-94, Record of Arrival-Departure is stamped.
